FAQ Erasmus+ Internship (long term)

An internship abroad provides a great opportunity to prepare oneself for the global job market and to acquire know-how with regard to intercultural communication and multinational team work. An internship abroad brings many life long advantages. 

General Information on Erasmus+*

General Information

A long term Erasmus+ internship can be funded for 60 days or more.  A short term internship can be funded for between 5-30 days; a virtual component is also required. Further information on short term mobility (internship or study) can be found here.

If you have a disability or chronic illness or if you are taking your child with you to study abroad, you may belong to the group of students with fewer opportunities. In this case, you can apply for top-up funding. Please refer to the FHS website under Inclusion, FAQ 20 or 21 or contact the International Office.

Find your own internship within one of the Erasmus+ program countries (KA 131).

As a student or intern, you can complete several stays abroad with Eramsus+, but no more than 12 months can be funded per study program.

Organize the necessary documents to apply for an Erasmus+ internship. The Erasmus+ internship must last at least 60 days, include 40 hours per week and a physical stay in the host country is required.

Funding is not possible for the following host institutions

- EU institutions and other EU bodies including specialized agencies

- Organizations managing EUR programmes

- Members of the European Parliament

- Private individuals

Compulsory internship: Participants who have to complete a compulsory internship as part of their study program. ECTS are credited for the internship, which must be proven after the internship in the form of a letter of recognition. 3 ECTS per month are mandatory.

Voluntary internship: Participants who would like to do a voluntary internship as part of their study program, which is not mandatory for the degree or an internship not in the curriculum.

Graduate internship: Participants might not be enrolled at a university during the graduate internship. The application must be submitted before graduation and at least 4 weeks before the start of the internship. The internship must be completed within 12 months of graduation (funding is only available for 60 days). No funding can be applied for a graduate internship in the home country. Students no longer be enrolled at the university at the start of the internship.

Erasmus+ Program funding is available for the follow European countries:

Belgium, Bulgaria, Croatia, Cypress, Danemark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Iceland, Italy, Latvia, Liechtenstein, Lituania, Luxemburg, Malta, Netherlands, North Macedonia, Norway, Poland, Portugal, Romania, Sweden, Serbia, Slovakia, Slovenia, Spain, Czech Republic, Turkey, 

Erasmus+ Funding for an internship in a partner country (countries outside of the EU countries listed) is possible, but these have lower priority and must be requested from the International Office. The maximum funding period is 60 days.

The International Office is glad to support you with regards administering Erasmus+ funding, but the International Office does not arrangeany internship positions. und ist ausschließlich für die Abwicklung der Erasmus+ Förderung zuständig.

BEFORE your Internship

Send all required and complete documents at least 4 weeks before the start of the internship in an e-mail to: internship@fh-salzburg.ac.at

  • Learning Agreement (see FAQ number 18) --> ATTENTION: The Learning Agreement must have been completed before the stay, a subsequent completion or submission of the documents is not permitted! Please be sure to adjust the year of study and your name in the header. The three required signatures must be on the Learning Agreement (1 x student, 1 x internship supervisor of study program/department, 1 x signature of the person responsible for the internship)
  • Internship contract
  • Proof of success for the Internship Cultural Coaching (completed with ECTS)
  • If applicable, registration form from Austria (Meldezettel) (only for internship in home country)
  • Current confirmation of study grant/self-supporting scholarship
  • Letter of Motiviation (only for internship in home country or graduate internship)
  • Please note that an internship is only eligible for funding if it lasts at least 60 days, including 40 hours per week.

*A graduate internship must be applied for BEFORE graduation and at least 4 weeks before the start of the internship. A graduate internship in your home country is not eligible for funding! ATTENTION: is only funded for 60 days

**The accompanying seminar Internship Cultural Coaching must be completed with 1 ECTS before the internship.

***A retroactive application for funding is not possible!

There is no legal entitlement to Erasmus+ funding! The award is subject to budget availability per academic year.

The Erasmus+ grant is intended to cover the increased cost of living in the host country. The calculation is made on a daily basis, based upon the start and end date of your stay. 

The Erasmus+ program countries are divided into three country groups as defined in the European Commission's program guide, for which the following grant amounts have been set in Austria:

The grants can only be used for the physical part of a mobility activity!

ATTENTION: It is not possible to apply for funding retroactively!

This is a one time EUR 50 top-up for low-emission travel and can be applied for, upon submission of tickets or receipts. Low-emission travel includes:

  • Prerequisite: more than half of the journey must be environmentally friendly
  • Bus, train, boat, ferry
  • Carpooling (two or more people)
  • applies to travel to and from the location of the internship

ATTENTION: A retroactive application for top-ups is not possible!

For Erasmus+ participants with fewer opportunities, in particular people with physical, mental or health impairments, an Erasmus+ stay should be possible without any additional financial burden. In the new Erasmus+ program period 2021/27, there is therefore an additional grant - a so-called top-up - for students with disabilities or chronic illness:

Top-up “Fewer Opportunities”:

  • Students with a disability
  • Students with a chronic illness (physical or mental), if this results in increased financial expenses during their stay abroad (compared to their stay in their home country).

can apply for the top-up (additional EUR 250 per month) “Fewer Opportunities”.

The following documents can be used as proof for the top-up:

  • in the case of disability: disability pass or other proof
  • in case of chronic illness: medical certificate and proof of the additional costs incurred compared to the stay in the sending country, e.g. sworn declaration by the student or other documents proving the additional costs

ATTENTION: It is not possible to apply for the top-up retroactively!

In addition, inclusion support can be applied for to cover the additional financial costs actually incurred in connection with a specific personal situation during the Erasmus+ stay (especially for participants with physical, mental or health impairments)

Which costs can be applied for inclusion support?

Some examples (selection):

  • Travel costs for necessary medical check-ups in the home country, etc.
  • Travel and accommodation costs for personal assistance or accompanying person
  • Costs for sign language interpreters and co-tutors
  • Shipping costs, transportation costs, etc.

Important: When preparing your Erasmus+ stay, we ask you to inform us of your situation and to estimate the additional costs that are likely to be incurred during your Erasmus+ mobility or in the host country. Please contact the International Office as early as possible. An application for inclusion support with a detailed cost breakdown must be sent to the National Agency at least eight weeks before the start of the mobility.

In the new Erasmus+ program period 2021/27, there is an additional grant - a so-called top-up - for students with child(ren) who take their child(ren) with them on the Erasmus+ stay.

If this applies to you, you can apply for the top-up “Fewer Opportunities” in the amount of EUR 250 additional Erasmus+ funding per month.

The following documents can be used as proof for the top-up: Birth certificate, proof of custody (if applicable), proof of the child/children's stay in the host country.

ATTENTION: It is not possible to apply for the top-up retroactively!

In addition, inclusion support can be applied for, to cover the additional financial costs actually incurred in connection with a specific personal situation during the Erasmus+ stay.

The online language test is mandatory before your stay abroad (native speakers are exempt from this requirement) and relates to the working language of your internship. You will receive an e-mail with the access data for the OLS portal in good time.

In addition, a free and voluntary language course is available to you in the OLS Portal. Here you can choose between the working language and the national language.

Insurance cover is mandatory for all stays abroad.
Important: It is your responsibility to ensure that you have adequate international insurance coverage (accident, liability and health insurance) for the entire duration of your stay abroad. Private supplementary insurance is recommended.

ÖH fee = accident and liability insurance

Accident and liability insurance is generally covered with the payment of the ÖH fee. The insurance coverage only applies to accidents or damage during your studies (on the host university compus and also on the way there). Accidents or damages that occur during your free time are not included.

European Health Insurance Card (EHIC)

The European Health Insurance Card offers health insurance in all EU/EEA countries (including Iceland, Liechtenstein, North Macedonia, Switzerland and Serbia). You will find this on the back of your e-card. Contact the customer service of the Austrian Health Insurance Fund (ÖGK) to find out about insurance cover in your host country.
 

The validity of the card must be checked before the start of the stay abroad. All fields on the back of the e-card should be completed in full. If you do not have a valid health insurance card, contact your health insurance provider before you travel. Ask your host institution in advance whether special insurance is recommended for your stay abroad.   

In order to apply for Erasmus+ funding for an internship, you must take part in the accompanying seminar Internship Cultural Coaching and successfully complete it before starting your internship abroad (proof of success is required for the application).


It is recommended that you participate no later than 6 months before the start of your internship. You can register using this link.

The following dates are planned for the academic year 2024/25. After registration you will find the campus (Urstein or Kuchl) and room number in the timetable:

  • October 22 and 23, 2024
  • January 13 and 14, 2025 (Kuchl)
  • March 26 and 27, 2025
  • May 6 and 7, 2025

each class is from 17:00-20:15 or 17:00-19:30

  • The date in October is recommended for those who start their internship in WS 24/25 after the workshop date in October or before the workshop date in January.
  • The date in January is recommended for those who start their internship in WS 2024/25 after the workshop date in January or before the workshop date in April.
  • The date in March is recommended for those who start their internship in SS 2025 after the workshop date in April or before the workshop date in June.
  • The May date is recommended for those who start their internship in SS 2025 after the workshop date in June or before the workshop date in October 2024.

*Similar courses in your degree program are compatible.

Once you have sent the signed grant agreement and all the necessary documents to the International Office, the Erasmus+ grant can be distributed.

You will receive 80% of the funding before or at the beginning of your stay abroad and the remaining 20% after successful completion.

Incomplete applications are automatically rejected and cannot be processed.

To avoid such an incident, it is important to read the FAQs and the guidelines described therein carefully.

Common reasons for an incomplete application are:

  • the three required signatures on the Learning Agreement are missing (1 x student, 1 x internship supervisor*in degree program/department, 1 x signature of the person responsible at the internship location)
  • Documents are not sent along
  • Documents are incomplete or not completely filled out

All required documents must be completed in full and submitted in an email to internship@fh-salzburg.ac.at
 

Erasmus+ Internship Application Form

The Learning Agreement must be completed and signed in full before your stay; it is not permitted to complete or submit the documents at a later date!

Make sure to adjust the year of study and your name in the header. Do not forget the three required signatures on the Learning Agreement (1 x student, 1 x internship supervisor/department, 1 x signature of the person responsible for the internship position).

The student is responsible for arranging and obtaining an internship contract. 

  • Proof of success for the Internship Cultural Coaching (completed with 1 ECTS)
  • Registration form from Austria, if applicable (only for internship in home country)
  • Current confirmation of study grant/self-supporting scholarship

Please note: Only complete applications can be processed. Please check your documents before submitting them. 

AFTER the Internship

The following complete documents must be submitted by email to internship@fh-salzburg.ac.at no later than two weeks after your Erasmus+ internship:

  • Learning Agreement Table D (confirmation of internship duration) - date of confirmation (name and siganature of the Supervisor at the Receiving Organization) must not be before the end date of the internship
  • Confirmation of Stay (only necessary if the exact dates of the mobility are not shown in the Transcript of Records)
  • Proof of success with confirmation of the ECTS credited from the internship abroad (in the case of a voluntary internship, proof of the duration of the stay abroad on the document is sufficient)
  • If applicable: receipts / tickets for green travel top-up (otherwise a refund is necessary)
  • Proof of degree (only for graduate internships)
  • Completed mobility report (EU survey) in the Beneficiary Module (BM) --> link will be sent by e-mail
